In Assignment 1, you defined key portions of the VoIP / G-Suite project. Now, it is time to develop a Work Breakdown Structure (WBS) and project schedule. Note: Please use the project from Assignment 1 to complete this assignment.
This assignment requires you to:
- Create a WBS for the project using the proper format (MS Word, MS Excel, Visio, or any other applicable format) to depict WBS graphically (see Figure 4.4 from Chapter 4 of the Larsen textbook). Alternatively, you may use a coded format using MS Word (See Exhibit 4.1 from Chapter 4 of the Larson textbook as an example. The example is in MS Project format but the same could be done in MS Excel).
- Create a project schedule that lists all of the core activities, dates (start & finish), and resources to complete the project. While it is recommended that you use MS Project, you can use MS Excel to create your schedule. Your project schedule must contain at least 30 separate activities/tasks.

Brief Summary of the Project
Two universities; A and B, have merged, and this means that there are quite a number of things that are going to change regarding the manner in which they operate and manage their daily affairs. The system that each and every university has been using in the past is going to change. The new project from the merger of the universities is going to entail a change of the call system as well as the replacement of the MS Office that both of the universities have been using in the past. The traditional call system is going to be replaced by a VoIP phone system.
VoIP phone system
This is a unique technological system that has been recently developed. In fact, the design and use of this new system for calling were done after the intervention of the internet. The two universities that have merged are going to use a telephone that is designed to use voice over the IP technology to communicate between various departments. In this project, the design is going to entail the use of internet telephony to send and receive phone calls. This is going to be carried out over an IP network which is very different from the circuit-switched telephony majorly used by PSTN (Public Switched Telephone Network). The calling system in the universities is going to be designed in a manner that the calls, as well as any media that can be shared, and this will be done by the use of the internet (Shim, & Byun, 2012). The design is in a way that it may not be used in there is no internet connection from the other end of the receiver. The plan for the VoIP phone system design is going to be based on both the hardware and software telephone. This new call system has a number of features and capabilities which the traditional analog phones do not have.
Google G Suite
The project is going to deploy a Google G Suite, which is going to be used to carry out several activities performed within the university. MS Office is a tool that has been used by the individual universities before they merged and now that they have come together, this is going to change. G Suite was formerly known as Google Apps Domain or Google Apps for Work (Leung, 2017). It is basically a combination of productivity, cloud computing and collaboration tools, products and software going to be designed to help the university perform various functions such as browsing, typing, designing and many more. Some of the features that are going to be included in the Google G Suite design:
· Drive; going to provide file storage and synchronization of various services. Mainly applied for storage.
· Google+; this is going to be used for communication purposes.
· Admin panel and vault; going to be used in the university to manage users and services.
· Sites; used for collaboration
· Docs, Forms, Slides and more
Project Goals and Objectives
Goals
1. To reduce the overall cost of the university
This is something that can be achieved by the university, especially this time that they are going to change their communication system. One major feature of the VoIP is that it uses the internet to make calls and share some resources. The use of the internet is fixed compared to the use of traditional phone calls that use credit in terms of airtime. Making communications through the use of the internet will, therefore, be easier and cheap since payment of subscription is fixed and paid after a given agreed period of time compared to the traditional use of airtime where the longer you use it, the more you pay. VoIP has a protocol known as H.323 which supports the video, audio and data communications across networks and this will also be cheaper as compared to the use of traditional calls or MS Office (Tagg, & McEwan, 2015). Google G suite is also going to reduce the cost for operations since everything is branded under Google.
2. Improve security
The use of VoIP call system and Google G Suite is expected to improve the security of the communications made and data transferred. The use of the VoIP communication system and Google G Suite is done through the use of IP address (Shim, & Byun, 2012). The two universities really want to keep their communications and data as safe as possible, and the use of unique IP address can help in ensuring safety, to add, the use of Firewalls and other protective tools are also going to make sure that the networks as safe as possible.
3. Improve staff and student relationship
Developing relationships with students is vital. The new systems used are going to ensure that there is a good relationship between the university administration and the students and this is enabled by the smooth communication between them.
Objectives
1. Efficiency in communication
It generally means obtaining more output for a unit input. The deployment of Google G Suite and change of communication system VoIP is planned to make communication efficient within the university without traffic and much delays.
2. Productivity/perform tasks quickly
The Google G Suite is going to give the university more output within for short work. For instance, G Suite is Google-based and has all the features that might be needed by university staff at one click. Drive, Google+, Site, Docs, Forms, Slides and more at one point (Leung, 2017). These will make it easier to perform tasks within a short period.
3. Improving processes within the university
The use of these new systems is going to improve the processes of doing things within the university. For example, the downtime for communication and performing tasks is going to be significantly reduced.
4. Developing knowledge within the university
The use of these new systems such as VoIP call system is going to improve knowledge of the students as well as some staff. This is a new technology that will offer more new knowledge to the learners.
Key Customers and Stakeholders
Customers
Apart from the university which are the already known customers for the project, some potential customers may be served by these new technologies. These are different types of entrepreneurs who have different talents and interests. Some examples may include suppliers and mechanics. It is important to note that the university is not an island, and this means that its operations have to be supported by various people or organizations. We might have stationery suppliers who may also be customers. Google G Suite might replace Their MS Office, and their communication system changed from the traditional phones to the use of modern VoIP call system. This may be important because the university might also want to communicate with their suppliers or service providers through a safe means (Leung, 2017). It may also be the same with mechanic companies that provide repair and services to vehicles such as the university vans and buses.
Stakeholders
This is composed of individuals, groups of people or companies that might affect or may be affected by the outcome of the project. Two stakeholders in this project are:
Senior management/executive management
These are people at the highest management of the university. It includes the Vice-Chancellor, Dean of students, directors and many more. They are the ones who made the decision for the call system to be changed and are pushing for quick completion of the project.
Sponsors
This is made up of those contributing money for the completion of the project. It may full sponsorship or doing it partly. In this project, the university is sponsored by the bank, which is contributing some to fund the project. The university is sponsoring the project but being helped by the bank.
Key deliverables
1. Establishment of protocols
The VoIP phones require various protocols so as to be able to deliver voice communications through the internet. The protocol that has been established is known as H.323 (Shim, & Byun, 2012). This has been established and is used to support audio, video and data communications.
2. Session Initiation Protocol (SIP)
This is very important in the calling system that is changed. SIP sets up VoIP connections. It signals both ends of the parties communicating, which is made up of the sender and receiver. Achievement of this deliverable shows a great step in the project.
3. Obtaining of software product license
Most of the software used requires a valid license which is applied for. Google G Suite license has been received, and this is a positive response to the progress of the project.

The cost of the whole project can be estimated to be $ 60,000.
Some of the staffing resources required may include network technicians who will develop, operate and maintain different university and enterprise network phones. The non-staffing resources are mainly composed of tools and equipment (Shim, & Byun, 2012). Non-staffing resources that will be required include WLAN cables, routers, desktop VoIP phones, VoIP private branch exchange (IP PBX), ExtraHop, and many more.
